What the Maintium app and web console collect, why, and what you can ask us to do with it.

Who we are
Maintium (“the app”) is a maintenance tool for bike and e-bike workshops, developed and operated by Inurba Mobility, Barcelona, Spain (“we”). It is used by the technicians, workshop managers and quality staff of the fleets we run, and of the companies that maintain fleets with us (“your organization”: the company that gave you your account). There is no public sign-up.
Who answers for your data depends on who you work for. If you work for Inurba Mobility, we are the controller: we decide why and how the data in the table below is used. If you work for another company that uses Maintium under an agreement with us, that company is the controller and we are its processor: we operate the app on its behalf and only to provide the service.
Privacy contact: support@maintium.com.
What the app collects, and why
| Data | Why | Kept |
|---|---|---|
| Name, username, work email, role and workshop | To sign you in and show who did what on a repair | Kept · While your account exists |
| Work orders: bike, fault, diagnosis, parts used, comments | To run and audit the repair of a vehicle | Kept · As long as your organization keeps them |
| Work sessions: start and end of each repair, taken from our server clock | To measure repair time reliably | Kept · As long as your organization keeps them |
| Whether the phone reported a different clock | To flag time that needs a manager's review | Kept · As long as your organization keeps them |
| Activity and security log: sign-ins (with the IP address on the web console), changes made by administrators, short technical error notes from the app (app version, platform, error message, no personal content) | To keep the service secure, investigate incidents and fix errors | Kept · 24 months, then deleted |
| Failed and successful sign-in attempts on the web console: username or email and IP address | To stop password guessing and abuse of e-mailed codes | Kept · 7 days, then deleted |
| Two-step verification on the web console: the authenticator factor registered for your account (not your phone number) | To check it is really you when you sign in to the console | Kept · While your account exists |
When the app hits an error it sends us a short technical note (see above) so we can fix it; it does not use a third-party crash reporting service. Apple or Google may collect diagnostics if you allowed it on your device, under their own policies. On the phone, the session that keeps you signed in is stored in the device’s secure keychain.
The app does not collect contacts, browsing, advertising identifiers or health data, and it does not track you across other apps or websites.
Location, in plain words
The app does not read your location. Being with the bike is confirmed by scanning its QR code, and the time comes from our server clock, not from your phone. Earlier test versions recorded a position when a repair started or finished; any such record is deleted 12 months after it was taken.
Who the data is shared with
- Your organization: the managers and administrators of your workshop.
- Our infrastructure providers, acting on our instructions: hosting, database and sign-in (EU region), offline synchronisation and app updates. The current list is available on request at support@maintium.com.
- Maintenance systems your organization connects, such as fleet platforms, to exchange asset status and spare-part consumption. These exchanges carry asset and repair data, not your personal profile.
- Authorities, when the law requires it.
We do not sell personal data and we do not use it for advertising.
Where the data is stored
In the European Union. If a provider processes data elsewhere, it is covered by the European Commission’s standard contractual clauses.
Your rights
You can ask for access, correction, deletion, restriction, objection and portability of your data. Because your account belongs to your organization, the quickest route is your workshop administrator. You can also write to support@maintium.com, and you may complain to your national data protection authority (for example, the CNIL in France or the AEPD in Spain).
To delete your account, use More → Account and data → Request deletion in the app, or follow the steps on Delete your account. When an account is deleted, the personal profile is removed. Repairs already finished stay in the workshop’s history without a name attached, because your organization needs them for safety and maintenance records.
Children
The app is a professional tool and is not directed at children.
